Filter Shopware products: custom filters, AND/OR and presets
Filter Shopware products until exactly the items you want to check or change are left: with the PIM you combine free conditions, search variants too and save every query as a preset that keeps working in bulk edit, feeds and category assignment.

Filtering products in standard Shopware
The product list in the Shopware admin has a search and a set of fixed filters. For daily maintenance that is often not enough: a query such as "description is empty or meta title is empty" cannot be freely put together there, conditions on variant level are missing, and the list does not tell you whether a text is maintained in a specific language. On top of that, even when you have found the right selection, you cannot reuse it as the basis for a bulk change, an export feed or the product assignment of a category.
Filter Shopware products with the PIM
The PIM product list combines fixed filters with freely definable conditions. Via "Add custom filter" you define which field is checked, with which operator and against which value. You can add as many conditions as you like and temporarily disable single ones without deleting them.
Operators per field type
- Text (8): contains, does not contain, equals, is not, starts with, ends with, is empty, is not empty
- Number (8): =, ≠, >, <, ≥, ≤, is empty, is not empty
- Yes/no (2): is active, is inactive
Filterable fields include product number, name, description, meta title, meta description, search keywords, EAN/GTIN, manufacturer number, packaging unit, stock, price, weight, dimensions, number of variants, status and the top seller flag.
AND or OR per filter set
You choose one link mode for the whole filter set. With AND, products must meet all active conditions, for example "stock < 5" and "status is active". With OR, one is enough, for example "description is empty" or "meta title is empty". There are no nested bracket groups; for complex cases you are better off creating two presets.
Fixed filters and quick filters
Besides custom conditions there are fixed filters: sales channel, category tree at any depth (a ticked category selects its subcategories too), manufacturer, price range, images, cover image for parent products and for variants, description, visibility, properties, delivery time and a product number list you can paste straight from Excel. All filters work together. Frequently used queries appear as quick filters directly above the list.
Filters on variant fields
Once a custom filter is set, the PIM also searches the variants. If only one variant matches, it pulls the parent product into the list so that no hit is lost. Inherited values count: a variant without its own price carries the parent's price. Negating conditions such as "does not contain" deliberately apply to the parent product only; otherwise a single variant would pull a product into the list that contradicts the filter.
Finding missing texts and translations
The "Missing texts per language" filter shows products that lack at least one of the fields name, description, meta title, meta description or keywords in at least one selected language. Language inheritance counts as present. The "translation missing" filter checks name, description or both against exactly one language, which the filter chip also names.
Presets: save and reuse filters
You save a filter combination with "Create preset". Presets are stored in the shop database and are available to all users; there is no separation per user. A preset can be shown as a quick filter and becomes a one-click workspace for the team.
- Bulk edit: choose "Preset filter" as the source and the actions apply to all hits. The active filters appear as readable chips, "No filters active" is highlighted in red. By default a preset loads at most 500 products, adjustable up to unlimited.
- Feed: a feed can use a preset as its filter. Only the approval status and "invalid RRP" cannot be mapped.
- Category assignment: in category management a preset serves as the basis for the product assignment.
With "Keep filters permanently set" in the config matrix, set filters remain in place on the next visit, optionally including the search term.
Step by step: from filter to preset
- Open the list: open the PIM product list and choose the sales channel if needed.
- Add conditions: click "Add custom filter" and choose field, operator and value, for example "description is empty".
- Choose the mode: decide whether all conditions must apply (AND) or one is enough (OR).
- Narrow down: add fixed filters such as category, manufacturer or delivery time and check the number of hits.
- Save: store the combination with "Create preset" and enable "Show as quick filter" if needed.
- Keep working: start bulk edit with the preset as the source or use it in a feed.
Use cases
- SEO gaps: OR filter on "meta title is empty" and "meta description is empty", saved as a preset and then filled with AI in bulk edit.
- Preparing a clearance: AND filter on manufacturer, "stock > 0" and a category, then adjust prices in one go.
- New language: "Missing texts per language" for the language of the new sales channel to see how much translation work lies ahead.
- Variants without image: the "Cover image (variants)" filter finds parent products where at least one variant has no image of its own.
Frequently asked questions
How many filter conditions can I combine?
As many as you like. Per filter set you link them either with AND or with OR. Text fields offer 8 operators, number fields 8 and yes/no fields 2.
Does every user see my presets?
Yes. Presets are stored in the shop database and are available to all users. There is no separation per user.
Are variants taken into account when filtering?
Yes. Custom filters also check the variants and pull the parent product into the list if only one variant matches. Negating conditions apply to the parent product only.
Can I use a preset for a feed?
Yes. A feed can use a saved preset as its filter. Approval status and "invalid RRP" cannot be mapped in the feed.
Are nested conditions possible?
