Bulk assign Shopware properties and categories

A new filter property for 400 products, an extra category for the whole collection, tags for a campaign: if you want to bulk assign Shopware properties and categories, the standard admin has you clicking through every product. The PIM bulk edit does it for a selection or a preset in one run, with a snapshot beforehand.

Properties and categories in standard Shopware

In the standard admin you assign properties and categories in the detail view of each product. For a few products that is fine. But when a new filter property such as "Material" is added, or a collection should also appear in a promotion category, it turns into tedious work. With variants it gets confusing: properties can sit on the parent, on the variant or on both, and whether a variant inherits or has its own values is not visible at a glance. If a property option is missing in one language, Shopware shows the name from another language via the fallback chain, without the cause being apparent.

Bulk assign Shopware properties with bulk edit

In bulk edit you choose the marked rows or a saved preset as the source. The assignment actions are in the Assignment tab and can be combined with actions from other tabs in one run.

Assigning and removing properties

The "Properties assign" action shows the property groups on the left and their options on the right, with a search. You choose the mode "Assign property" or "Remove". If a group or option is missing, you create it with "Create group" or "Add option" without leaving bulk edit.

For variants, the checkbox "Also assign to the master product" writes the selected options to the parent product as well; in remove mode it reads "Also remove from the master product". Its default can be preset permanently in the configuration.

Adding translations of property options

Options without a translation are highlighted and labelled "no translation", with the count shown at the top. The pencil icon opens the "Edit translation" dialog where you enter the name for several languages at once. The benchmark is the languages of the sales channels the affected products are assigned to. The highlighting is controlled by the option "Show missing translations in bulk edit".

Categories, main category and tags

  • Assign categories: add or remove, selection in a searchable category tree.
  • Set main category: in the SEO tab per sales channel. It determines which category the product's SEO URL is built from.
  • Assign tags: add or remove, type a tag and confirm with Enter.

Cross-selling and other assignments

"Assign Cross-Selling" adds an extra group to every target product, with name, position, type (dynamic product group or product list), sorting, limit and active status. Existing cross-selling groups are kept. In the same tab you assign manufacturer, essential characteristics and visibilities per sales channel.

Transferring assignments to variants

To keep parent products and variants consistent, there are dedicated actions:

  • Properties to variants: "Reset to inheritance" removes the variants' own properties so they follow the parent product. "Copy from main product" writes the parent's properties to the variants.
  • Visibility to variants: transfers the parent product's visibility to all variants.
  • Transfer to variants in the Prices & stock tab: copies tier prices and cross-selling including products from the main product to all variants.

For single products, the detail view offers "Copy properties to variants".

Step by step: assigning a property to many products

  1. Find the products: filter the product list, for example by category and manufacturer, and save the selection as a preset.
  2. Open bulk edit: choose "Preset filter" as the source and check the chips of the active filters.
  3. Choose the property: in the Assignment tab enable "Properties assign", tick group and options or create new ones.
  4. Consider variants: set "Also assign to the master product" if needed.
  5. Check translations: add missing ones for highlighted options via the pencil icon.
  6. Run: check the confirmation and start. A snapshot is created first, which lets you roll back the run.

Use cases

  • New filter in the shop: create the property "Material" and assign it to 300 products via a preset.
  • Promotion category: tag Black Week products, add them to the promotion category and remove them again afterwards.
  • Consistent SEO URLs: set the main category per sales channel for an entire range.
  • Mixed languages in the filter: fix highlighted options without translation directly in the assignment.
  • Linking accessories: attach a cross-selling group "Matching accessories" with a dynamic product group to all devices of a series.

Frequently asked questions

Can I remove properties again?

Yes. The "Properties assign" action has a remove mode. For variants, "Also remove from the master product" removes the options from the parent product as well.

Do I need to create new properties in the Shopware catalogue first?

No. With "Create group" and "Add option" you create them directly in bulk edit.

Are existing cross-selling groups kept?

Yes. "Assign Cross-Selling" adds an extra group; existing entries of the products stay unchanged.

How do I set the main category for many products?

In the SEO tab of bulk edit with "Main category set". At least one sales channel must be selected because main categories are stored per channel.

Can I roll back a wrong assignment?

Yes. A snapshot is created before every bulk edit, which you can restore in the config matrix in the Snapshots tab.
