Activate, deactivate or delete Shopware products in bulk
Deactivate Shopware products in bulk, activate them again or delete them for good, and set clearance sale and top seller in the same step: in PIM for Shopware you filter the affected products, choose the action in bulk edit and change the whole range in one run. Before every status change a snapshot saves the previous state.
- Status, top seller, clearance sale and free shipping are in the "Master data" tab of bulk edit.
- Deleting happens in a separate "Delete" tab, only if the feature switch allows it, and always with confirmation.
- Dashboard tiles such as "Inactive with stock" open the product list with the matching filters.
- You undo status changes via the snapshot, deleted products cannot be restored.
Why range changes take time in Shopware
Seasonal goods go offline, a supplier drops a range, remaining stock should disappear once the last item is sold. Shopware provides the tools: the active switch hides a product in the shop, "clearance sale" makes sure a product without stock can no longer be bought, and "top seller" marks a product as particularly popular. The effort lies elsewhere: finding the right products reliably and then changing all of them in one go, without missing one or catching one too many. And anyone who has deactivated a whole product group by mistake wants the previous state back with one click.
Deleting is more serious. A deleted product is gone, together with its variants, image assignments, categories and SEO URLs. So check first whether deactivating is enough: an inactive product keeps all its data and can go back online at any time.
Deactivate Shopware products in bulk with bulk edit
Find the right products
The PIM product list filters by status, stock, clearance sale, top seller, manufacturer, category, delivery time and sales channel, among others. Combinations you need often are saved as a preset. The dashboard is often even faster: the tiles "Inactive with stock" and "Out of stock" (active products with stock 0) open the product list with the matching filters.
Set status, clearance sale and top seller
In bulk edit you choose the checked rows or a preset as the source. In the "Master data" tab you switch on the fields you want to change:
- Status: "Active" or "Inactive".
- Clearance sale: "Yes (when sold out: no longer purchasable)" or "No".
- Top seller: "Yes" or "No".
- Free shipping: often fits into the same run, for example for a promotion.
Several actions can be combined, for example clearance sale on and top seller off in a single run. Whether the variants of the chosen products are changed too is defined by "Include variants by default" in the config matrix.
Switch single products
For single products the context menu in the product list is enough; it offers activating or deactivating depending on the current status. If the feature switch "Set active/inactive" is off for normal users, this manual switching is blocked.
Mind the approval workflow
If the approval workflow is active, the PIM only lets you activate approved products. The active status of products that are already approved can only be changed by approvers. In bulk edit the PIM leaves such products out of the status part of the run and reports their number in a message; the other actions run as usual.
Delete products
The "Delete" tab removes the selected products for good, including variants and media assignments. The PIM also cleans up the links, such as categories, properties, visibilities, cross-selling and the SEO URLs of the detail pages. Order line items are not touched, the order history is kept. The tab only appears if the feature switch "Delete products" allows it, and it always requires its own confirmation. Alternatively you delete checked products directly from the selection bar of the product list.
Step by step: deactivate a supplier's discontinued products
- Filter products: choose the manufacturer in the product list and narrow down to stock 0 if needed. Save the result as a preset.
- Open bulk edit: choose the preset as the source. The active filters appear as chips, "No filters active" is marked red.
- Set the status: switch on status in the "Master data" tab and choose "Inactive", optionally top seller "No" as well.
- Check the overview: with "Confirmation before applying" (default) you see all planned changes before anything is written.
- Start the run: first the snapshot saves the current state, then the PIM writes. Progress and remaining time are visible, and you can cancel at any time.
- Check: look at the dashboard tile "Inactive with stock" to see whether stock is still tied to deactivated products.
Use cases
- Season change: set the winter range to inactive via a preset and activate the summer range in the next run.
- Remaining stock: set clearance sale to "Yes" so the products can no longer be ordered after the last item.
- Tied-up capital: the tile "Inactive with stock" shows products that have stock but are not being sold.
- Promotions: set top seller for selected products and remove it again after the promotion using the same preset.
- Check before going live: with "Allow preview for inactive products" (config matrix, default off) the preview activates an inactive product temporarily, 30 seconds by default. If no visibility exists, the PIM briefly sets "Direct link only" for it.
- Clean-up: remove test products and duplicates in the "Delete" tab after checking them.
Frequently asked questions
Can I deactivate Shopware products in bulk and activate them again later?
Yes. In bulk edit you set the status for all chosen products in the "Master data" tab. You go back via the snapshot of the run or a new run with "Active".
What does "clearance sale" do in Shopware?
With clearance sale a product without stock can no longer be bought. As long as there is stock, it can be ordered as usual.
Does deleting also delete orders?
No. The PIM removes the product with its variants and links, order line items are not touched. The order history is kept.
Can I restore deleted products?
No. Deleting creates no snapshot, deleted products and variants are gone for good. When in doubt, deactivate first.
Why can some products not be activated?
With an active approval workflow only approved products can be activated. Bulk edit leaves the others out of the status part and reports their number.
