Bulk update Shopware stock: set, increase, deduct
Bulk update Shopware stock without opening product after product: with the PIM bulk edit you set stock for a whole selection, increase it by a quantity or deduct it. Filters and presets decide which products are affected, the dashboard shows where stock runs low, and a snapshot keeps the way back open.
- Three modes: set, increase or deduct stock. When deducting, stock never drops below 0.
- Selection via marked rows or a preset, for example with the stock from/to filter.
- Single values directly in the product list or in the variant matrix.
- Before the run a snapshot saves the previous stock.
Changing stock in standard Shopware
In many shops stock comes from the ERP. Still, there are regular cases in which you correct it in the admin: remaining items are set to 0, trade fair samples are deducted, a delivery has to be booked in early, or a shop without an ERP maintains stock entirely by hand. In the standard admin that usually means: open the product, change the value, save, next product. It gets difficult when only certain products are affected, for example all variants of one manufacturer with fewer than five items, and when you want to restore the old state after the change.

Set, increase or deduct
In the "Prices & stock" tab of bulk edit you enable the stock action and choose the mode. "Set" writes the same value for all selected products. "Increase" adds the quantity to each product's existing stock. "Deduct" reduces it, but never below 0. The confirmation before running names the planned change, for example "increase stock by 10". You can combine other actions in the same run, for example "Clearance sale" from the master data or the restock time from the "Shipping" tab.
Selecting the right products
The source is your selection in the list or a saved preset. Useful for stock tasks are the fixed "Stock" filter with a from and to value, a custom filter on the numeric stock field with operators such as less than or equal, the "Clearance" filter and the product number list you paste straight from Excel. A preset loads up to 500 products by default, adjustable up to unlimited.
Including variants correctly
In Shopware stock always belongs to the individual variant and is not inherited from the parent. Whether the variants of the selected products are changed as well is decided by the setting "Include variants by default" in the config matrix ("Bulk edit" tab). For a single product it is easier to enter stock in the variant matrix, with "Stock" as the cell value. Via "Copy to variants" in the detail view you copy the parent's stock to all variants.
Single values directly in the list
In the PIM product list stock can be edited directly in the row, including variants. It is saved when you leave the field.
Spot shortages in the dashboard
The "Stock status" area of the dashboard counts active products with stock 0 ("Out of stock"), active products below the threshold ("Low stock", default 5, adjustable from 1 to 999) and deactivated products with stock. Products on clearance sale are not counted in the first two. Next to it is the list "Top 10 - lowest stock".
Stock via file
To match a supplier list you use the CSV import with the stock column. The export profile "Prices & stock" delivers stock and available stock; the latter is only exported, not imported. In the feed generator you limit a feed to available products with "In stock only".
Step by step: set remaining items to 0 in one go
- Find products: paste the product numbers of the remaining items as a list in the product list or set a filter, for example on manufacturer and stock from 1 to 3.
- Save a preset: store the selection with "Create preset".
- Open bulk edit: choose the preset as the source and check the number of products and variants.
- Set stock: in the "Prices & stock" tab enable the stock action, mode "Set", value 0.
- Run: check the overview of planned changes and start the run. The snapshot saves the old values.
- Check: look at the "Stock status" area in the dashboard and at the snapshot in the config matrix if needed.
Use cases
- Booking in a delivery early: increase all products of a delivery by the delivered quantity with "Increase", if it is the same for all.
- Trade fair samples: take one item each out of stock with "Deduct" without any product going negative.
- Dead capital: open "Inactive with stock" in the dashboard and check the products or activate them in one go.
- Clearance sale: set products with low stock to "Clearance sale" in one go so that they can no longer be ordered after the last item.
Frequently asked questions
Can stock become negative when deducting?
No. The "Deduct" mode reduces each product stock by the given quantity but stops at 0.
Are variants changed automatically?
That is decided by the setting "Include variants by default" in the config matrix in the "Bulk edit" tab. Stock itself is not inherited from the parent.
Can I undo a stock change?
Yes, if "Create snapshot before change" is active. You restore the snapshot in the config matrix in the "Snapshots" tab.
Can the available stock be imported?
No. In the CSV the available stock is only exported. The stock itself can be imported.
From which stock level does the dashboard report a shortage?
From the "Low stock from" threshold, 5 by default. You set it between 1 and 999 in the config matrix in the "Dashboard" tab.
