Shopware PIM: maintain product data right in Shopware
A product information management that is not a second system: the PIM plugin puts listing, filters, bulk edit, AI texts, import, feeds and approval directly into the Shopware admin.
- The PIM works with your shop's product data, without export, import or synchronisation into another system.
- Three menu entries in the Stone & Water menu: PIM Dashboard, PIM and PIM Configuration Matrix.
- Permissions run via Shopware user roles, complemented by function switches.
- Change history, snapshots and an approval workflow make changes traceable.
Why a PIM inside Shopware?
The Shopware admin is designed to edit one product completely. As soon as many products are involved it gets slow: filters for missing data, bulk changes across many fields, multilingual texts, feeds for portals. Traditionally a separate PIM system is added at that point. That brings its own strengths, but also a second data store, interfaces, sync runs and the question which system currently holds the right state.
An integrated Shopware PIM takes the other route: it extends the admin with the tools that are missing for maintaining large catalogues, and works directly on Shopware's products, translations, prices, media and SEO URLs.
What the PIM brings right into Shopware
- Product listing: configurable columns, filters with AND or OR logic, quality filters, presets, inline editing and quickview.
- Bulk edit: prices, list prices, tiers, stock, assignments, SEO templates, custom fields, variants and texts in bulk, with a snapshot before the change.
- Variant generator with patterns for product number and name plus a variant matrix for prices and stock.
- AI text generation with ChatGPT, Claude, Mistral and Gemini in the detail view, DeepL for translations.
- CSV and Excel import with translation columns, DATANORM import and export profiles.
- Feed generator for CSV, XML and JSON feeds via URL.
- Category management with tree, SEO fields, AI texts and CSV.
- PIM dashboard with KPIs, top issues and stock status.
- Approval workflow, change history and protection against foreign systems.
The config matrix as control centre
What is visible or required in the detail view, which functions a user sees, how SEO URLs are built and how long snapshots are kept is defined in the config matrix. It is organised in tabs, among them General, Dashboard, Products, Variants, SEO URLs, Texts & Translations, Import / Export, Bulk edit, Approval, Snapshots, Foreign systems and PIM superadmin.
Step by step: introducing the PIM
- Install and activate: after installation the menu entries appear in the Stone & Water menu of the admin.
- Assign roles: add the PIM permissions View, Edit, Create or Delete to the user roles in Shopware.
- Switch functions: in the config matrix define who may import CSV, create feeds or use bulk edit, and who can grant approvals.
- Tailor the detail view: in the Products tab hide fields you do not need and mark required fields.
- Measure the starting point: open the PIM dashboard and look at completeness and top issues.
- Create first presets: save filters for recurring tasks, such as products without description or without image.
What the integrated approach means day to day
- No sync runs: a change in the PIM is a change in the shop. There is no second data state that needs catching up.
- Familiar permissions: who may edit products in Shopware is controlled via the same roles.
- Shopware logic is preserved: inheritance between parent and variant products, price rules and SEO URLs work as usual; the PIM just makes them more visible.
- Working together: the edit lock warns other users when a product is currently open.
- Traceable: the change history per product and snapshots for bulk edits and CSV imports show what was changed and when.
- Foreign systems under control: if an ERP delivers data, the PIM protects maintained texts from being overwritten.
Frequently asked questions
Do I need a separate PIM system in addition to Shopware?
Not for the product maintenance the plugin covers. The PIM works directly with your shop's products, translations, prices and media. Synchronisation between two systems is not needed.
Where is the data stored?
Product data stays in the Shopware tables. For configuration, filters, profiles, change history, snapshots, approvals and edit locks the plugin creates its own tables in your Shopware database.
How are permissions assigned?
Via Shopware's user roles. The plugin ships four roles: View, Edit, Create and Delete. They build on Shopware's product permissions. Individual functions such as CSV import, feed generator or bulk edit can additionally be switched in the config matrix.
Does the PIM replace the Shopware product list?
If you want. With "Redirect standard product list to PIM" users with PIM access land directly in the PIM when they open the Shopware product list.
Does the PIM protect against overwrites from an ERP?
Yes. The protection against foreign systems records maintained texts and restores them when a connected system overwrites them. Languages, fields and triggering are set in the foreign systems tab.
