PIM for spare parts and tech shops on Shopware
A PIM for spare parts and tech shops on Shopware has to find the right products fast: by product number, EAN, manufacturer number or technical values. PIM for Shopware filters across many fields at once, matches lists by EAN or manufacturer number and maintains stock, custom fields and accessories in bulk.
- Custom filters on product number, EAN/GTIN, manufacturer number, dimensions, weight and more, combined with AND or OR.
- Paste a product number list from Excel into the filter and see the matching products straight away.
- CSV and Excel matching by EAN or manufacturer number, with validation and undo.
- Stock, custom fields and cross-selling for many products in one run.
Typical data problems in spare parts and tech shops
Spare parts ranges are large and fine-grained. Many products carry almost identical names but differ in size, fit or manufacturer. Customers often search with a number, not a term. For data maintenance this means:
- Identification by numbers: product number, EAN and manufacturer number have to be complete and unique, otherwise neither the search nor the supplier matching finds the product.
- Selection from lists: a price change or a block often concerns a list of numbers from a supplier email, not a category.
- Technical data: values such as dimensions or connection sizes live in properties or custom fields and have to be maintained consistently.
- Stock: sold-out active products and critical stock should be noticed early.
- Accessories: matching parts and consumables should appear on the device.

Filters across many fields
In the PIM product list you create custom filters from field, operator and value. Text fields offer eight operators such as "contains", "starts with" or "is empty", number fields eight comparisons. Filterable fields include product number, name, EAN/GTIN, manufacturer number, pack unit, stock, price, weight and dimensions. Per filter set you combine the conditions with AND or OR. Custom filters also search variants and bring the matching main product into the list. You paste a product number list directly from Excel.
Presets and inline editing
You save every filter combination as a preset that is available to all users and serves as the source for bulk edit and feeds. Stock, price, EAN, manufacturer number, weight and active status are edited directly in the list row, also for variants.
Matching via CSV or Excel
The import matches rows by product number, EAN/GTIN, manufacturer number or product ID. With "Update only" you import price or stock lists without creating new products. For the way back, you export filtered products with the "Prices & stock" profile.
Custom fields, stock and accessories
The Custom fields tab of bulk edit sets all product custom fields by type. In the CSV they appear as cf_<name> columns. You set, increase or decrease stock in bulk. The PIM dashboard shows sold-out active products and critical stock. "Assign cross-selling" adds an accessories group to all devices of a series.
Feeds for portals and dealers
For comparison portals, marketplaces or dealer platforms, the feed generator provides the products of a preset as CSV, XML or JSON at a fixed URL. EAN, manufacturer and manufacturer number are available as columns, and you name the columns to suit the recipient. You create a separate feed with its own token for each recipient.
Typical process: import a supplier price list
- Load the file: open the CSV window and select the supplier's Excel or CSV list.
- Choose the key: match the rows by manufacturer number or EAN, mode "Update only".
- Map the columns: connect only the price and stock columns, everything else is skipped.
- Validate and import: check skipped rows and start the import.
- Check gaps: filter on "EAN/GTIN is empty" or "manufacturer number is empty" and save the filter as a preset.
- Check stock: open the dashboard and review the products with critical stock.
