PIM for B2B shops on Shopware
A PIM for B2B shops on Shopware has to bring together prices for customer groups, quantity rules and controlled approval. PIM for Shopware maintains tier prices per price rule, sets minimum purchase and purchase steps for whole ranges and uses an approval workflow and permissions to control who may change what.

Typical data problems in B2B shops
In B2B, a product carries more than one price. Dealers get different terms than end customers, goods are sold in cartons or minimum quantities, and pricing errors quickly cost margin. At the same time, several people often maintain the catalogue: product management, sales, an agency. Typical issues are:
- Prices per customer group: tiers for dealers and bulk buyers that have to be recalculated after every price change.
- Quantity rules: minimum purchase, maximum quantities and purchase steps, for example only in steps of ten.
- Control: new or changed products should not go live unchecked.
- Responsibilities: not everyone on the team should be allowed to delete, import or change a thousand products at once.
- Traceability: when questions come up, it must be clear who changed what and when.
PIM for B2B shops: features in Shopware
Tier prices per price rule
For each price rule, for example "Dealer", you create a tier group and enter the discount in percent per tier. The PIM calculates gross and net from the base price, rounds according to your setting and creates the row from quantity 1 automatically. If you wish, tiers update automatically when the base price changes in master data. For whole ranges, "Define tiers" in bulk edit sets the tiers of a price rule. You maintain the conditions of price rules in the Shopware rule builder.
Quantity rules and prices
In the Prices & stock tab of bulk edit you set minimum and maximum purchase (0 means unlimited) and the purchase step. You change prices as a fixed price, in percent, as an amount or as purchase price plus a mark-up; products without a purchase price are skipped. Pack unit and unit price are in the Shipping tab.
Approval workflow
With the approval workflow active, a product becomes active through approval. Submitting and rejecting deactivate it, only approval puts it online. Approval is reserved for the listed approvers and the PIM super admins. Status changes are recorded with user and time in the change history.
Permissions, lock and history
The PIM comes with four Shopware roles: view, edit, create and delete. For all users except the super admins you switch off individual features, for example bulk edits, CSV import or deleting products. The edit lock prevents two people from overwriting the same product at the same time. Before every bulk edit, a snapshot saves the previous values.
Data for sales and systems
You export price lists filtered as CSV with the "Prices & stock" profile. The feed generator provides product data as CSV, XML or JSON at a fixed URL, for example for an ERP or partner portals.
Protect texts from ERP overwrites
If an ERP is connected via a Shopware integration, it often writes name and description with every sync. The external system guard records the maintained state of name, description, meta title, meta description and keywords per language and restores it as soon as an integration defined as external overwrites it. Changes by logged-in users stay untouched.
Typical process: dealer terms for a range
- Create a price rule: create a rule for dealers in Shopware.
- Filter the range: narrow down the product list and save a preset.
- Define tiers: choose "Define tiers" in bulk edit with the dealer rule and the tiers.
- Set quantities: enter minimum purchase and purchase steps in the same run.
- Have it reviewed: submit new products in the approval workflow.
- Approve: the approvers approve the products individually or together.

Frequently asked questions
Can I maintain tier prices for dealers only?
Yes. Tier groups belong to a price rule. For a dealer rule you maintain a separate group, other price rules stay untouched.
How do I set minimum purchase and purchase steps for many products?
In bulk edit in the Prices & stock tab. There you set minimum and maximum purchase and the purchase step.
Who may approve products in the approval workflow?
The users in the "Approvers" list and all PIM super admins. There is no separate Shopware role for approval.
Can I prevent individual team members from importing CSV?
Yes, for all users without super admin status via the "CSV import" feature switch in the config matrix. Super admins always have access.
Can a bulk edit be undone?
Yes. A snapshot is created before every bulk edit, which you restore in the config matrix in the Snapshots tab.
